How Lufthansa Technik Philippines Increased Compliance Management Efficiency By 90%

Business Requirements 

With the onset of the pandemic, managing training was becoming increasingly difficult for Lufthansa Technik Philippines (LTP) without an LMS. Their pandemic protocols had put a halt on their Given the extensive regulation in the aviation industry, the excel sheet based, manual handling was leading to inefficiency in the compliance training and management which is known as ‘Authorization Management’ in the industry.
So, when G-cube was approached to find a technology-based learning solution for LTP’s training requirement, the client needed more than an enterprise learning
management system. They needed –

  • Mapping of multiple job roles with authorization requirement and automated tracking of expiry.
  • Documentation management in prescribed format.

When they approached Tenneo to find a technology-based learning solution, they had specific needs –

Major Challenges Faced

  • There is a mandatory requirement of training for MRO professionals, trail for all documents.
  • Dispersed workforce with diverse job roles which must function within a strict timeline.
  • The whole training process was manual with data being maintained on excel sheet and paper-based documentation.
  • Verifying the application against the database was time-taking and the approval process took months due to high volume.

  • Mapping each job role to the correspondent certification requirement and training need was done manually which was tedious and lengthy process.
  • Due to the paper-based documentation process it typically took anything between 5-7 days to apply for certification.

Solutions

The Tenneo Learning Management System implemented for Lufthansa Technik Phillipines was named LTP vCampus and provided the organization with –

  • A centralized learning platform with an in-built authorization management tool.

  • The system supports all types of eLearning formats and assessment.

  • The LMS allows administration to create new authorizations and link it to the required certificates, training, and assessment in the backend. This has changed the paper-based process into an automated digital system.

  • The process of application for authorization and been shifted to the system. With in-built forms where the job roles are already linked with required certification the application process was simplified.

  • The status of an employee’s authorization is visible to them, and the system sends reminders if there is a requirement for renewal of Certification.

  • The LMS provides comprehensive reports on the number of employees with active authorization or required authorization.

Impact

The in-built authorization management solution on the Tenneo LMS had a long- term impact. It is now a scalable project with scope for continuous and rigorous updates. However, with average 700 users per day, the impact we have been able to achieve since January 2021 –

  • 99.8% reduction in time taken for certfication application for employee.

  • 85% Efforts.

  • Only 15% intervention required for double checking the training requirements for grandfathered authorizations.

  • 95.8% annual reduction of time taken in approvals as it has gone down from 24 hours to 1 hour per manager.

  • 20 times increase in authorization requests from 5-10 to 200 per day.

  • 20% reduction in admin time which was taken in manually monitoring the training assignment process.

    Certification expiry notification has been automated by the LMS, decreasing the chance of compliance outage for individual employees.
