L&T Digitalizes the Training Management Process to Boost Learning Efficiency

Business Objective  

L&T is quite particular about its training process. All the training programs, including compliance training, product training and customer support training, go through various approval stages before being assigned to employees. However, they were conducting this process manually. They wanted to digitalize the training nomination process and eliminate the manual efforts required for training and user management. They also needed to digitalize the past training data records and migrate them into a single system.  

Tenneo (formerly, G-Cube LMS) understood their need for digitalization and automation of the training process, user management and nomination process. Various customization requirements were also taken into consideration while implementing the robust learning management system.  

Business Challenges  

  • Lack of Standardization
    L&T has several business units. Each business unit was following its own process for identifying and nominating employees for training programs. This created considerable gaps in the learning approach and objectives across all the business units. It created silos when it came to employee learning. 
  • User Management of over 50,000 Learners 
    Admins and trainers were compelled to take the manual and traditional route for user management. This made the process time-consuming, error-prone and tedious. With a workforce of over 50,000 employees, they needed to digitalize the user management process.
  • Lack of Digitalization
    All the training records and employee data were stored manually. This training data was scattered across various systems, and it was very crucial for collating this data into one robust learning platform and digitalizing the process of record keeping and data uploading.  
  • Manual Training Approval and Nomination Process 
    L&T followed the traditional manual approach for training approval. Training compliances and processes are strictly abided by at L&T. However, the long approval process of nomination of the training programs for their employees across all the departments was impacting the learning experience and outcomes. 

Solutions Provided

  1. Training Nomination Workflow

Tenneo developed a training nomination workflow and configured the approval notifications for users. Based on the pre-defined eligibility criteria, the LMS system enabled training managers to nominate employees for their training programs. Multiple workflows were developed to cover various need-based scenarios -

  1. Self-nomination: Learners will show their interest in the training programs and this interest will be sent to the IC training manager who will confirm the participation of the learner.
  2. Self-nomination & Approving authority: Learners will show their interest in training programs and then the interest will be approved by the configured approval levels. Then, the training manager will confirm the participation of the learner.
  3. Approving authority nomination: The approving authority will nominate learners for training programs. These nominations are gathered by the Department Head ---> Location Training Manager ---> Business Unit Training Manager. At last, the training manager will confirm the participation of the learner.

 

  1. SSO Integration

To enhance the user experience and deliver a seamless login mechanism, we leveraged SSO integration. This integration helped the users to automatically sign into the learning portal whenever need be. This also meant that learners did not have to type in their passwords to sign in always. SSO integration provided easy access to learning without needing any additional on-premises components.

  1. Bulk Upload Option

To streamline the user management process and make admin more efficient, we configured a bulk user information import option. LMS administrators could import bulk users in LMS database through a predefined CSV format-based template.

  1. MS Teams Integration

 Integration of MS Teams was able to enhance collaboration and communication among learners and educators, fostering a seamless virtual learning environment where discussions, file sharing, and real-time interactions can take place effortlessly. The LMS was integrated with MS Team for virtual classroom training and conducting webinars.

  1. Digitalization of Training Records & Data Migration

All the employee training records were digitalized through the LMS. Trainers and managers were able to part ways with the manual training data entries and records. Past training records of over 10 years were migrated into the LMS. This provided a better view of the learning history and progress to employees and managers.
